NetSuite & Outlook Integration Tutorial
If you’re ready to explore the possibilities of our Outlook bundle for NetSuite, let’s dive into some of its most important features. The tutorial will guide you through the process of logging inbound and outbound Outlook emails to NetSuite and customizing your settings.
How to Log Inbound Outlook Emails to NetSuite
Logging inbound emails from your customers to NetSuite is a breeze. Whether you’re using Outlook.com or the desktop version of Outlook, follow these simple steps:
- When you receive an email, it will appear in your Outlook inbox like any other email.
- Click on the email to open it. You’ll see a box pop up on the right side of the screen.
- Our integration with Outlook will search NetSuite’s customer records for the sender’s name and email address, pulling up any matches.
- Confirm the correct customer or contact by clicking the link to open the record in NetSuite.
- To create a new record, click the +New Record button if the customer or contact doesn’t exist in NetSuite yet.
- Check the box next to the correct record you want to log the email to.
- Click “Log Email.”
- If done correctly, you’ll see a red box pop up saying “Logged to NetSuite.”
If you want to keep track of the entire email chain, simply click “Auto-log Conversation” on the right.
How Inbound Outlook Emails Appear in NetSuite
Now that you’ve successfully logged incoming Outlook emails to NetSuite, let’s see how they appear within the system. Follow these steps:
- Open the record you logged the email to (e.g., a specific contact).
- Scroll down and click on “Messages.”
- Click “Refresh” to ensure any recently logged emails are displayed.
- Click “View” to open the email message window, where you can view the full details, attachments, and read receipts.
If you attach the email to something other than the customer level, such as an opportunity or a transaction, it will be posted to the corresponding section and roll up into the customer record automatically. No extra steps required!
How to Log Outbound Outlook Emails to NetSuite
Ensuring that all outbound emails sent through Outlook are captured in NetSuite is crucial for seamless communication. Here’s how to log outbound emails:
- Enter the recipient, subject line, and message in the email.
- Click the three dots in the bottom menu bar.
- Select “Email for NetSuite” and then “Bcc to NetSuite.”
- You’ll notice “SuperSync Email for NetSuite” in the Bcc email field.
- Once you send the email, it will be captured by NetSuite and associated with the respective customer or vendor.
What if the Outbound Email Address Doesn’t Match a NetSuite Record?
In case the outbound email address doesn’t match any existing NetSuite record, we have a solution. Our saved search feature will show you all unmatched emails, allowing you to decide how to proceed. You can either add a new customer or vendor record or ignore it if it doesn’t need to be logged.
How Outbound Outlook Emails Appear in NetSuite
Similar to inbound emails, outbound Outlook messages are easily accessible within NetSuite. Here’s how to view them:
- Navigate to the record you attributed the email to (e.g., the customer record).
- Click on the “Messages” tab.
- Click “View” to see the desired message.
- The screenshot below illustrates how outbound Outlook messages appear in NetSuite.
Customized NetSuite Outlook Integration Settings
At ProgramMatek, we strive to provide a seamless integration experience. To achieve this, we offer several customizable settings within NetSuite. Let’s explore two important settings:
SuperSync Email Matching Type List
This setting allows you to record emails against different record types. In addition to the default record types like cases, contacts, invoices, and opportunities, you can create subsets of data. For example, you can designate California contacts or Florida contacts using saved search filters. This level of customization ensures that you can attach emails to the relevant record types and filter them as needed.
SuperSync Email Profile List
To further enhance the integration, we have included an email profile list. Each user of the Outlook connector is associated with a profile, which can be customized according to your specific needs. Pre-built profiles such as accounts receivable or sales are available, or you can create your own. When working with these profiles, you can choose which matching types to use. For instance, the sales profile can include contacts, customers, employees, and opportunities. By selecting the appropriate profiles, you can streamline the integration and maximize its efficiency.
These settings are all linked in the employee record, where you control access and sync with Outlook:
- Navigate to the employee record.
- Click on “Access.”
- Choose the SuperSync Email Profile from the dropdown menu.
- The employee’s email address will be populated automatically. We use token-based authentication for seamless synchronization between NetSuite and Outlook.
